This manual will explain how you get started with Octopus and how to input the necessary information inside Octopus.
- Please download Octopus: navigate to https://www.octopus.be/nl/download and choose the correct operating system. If you are working on a windows machine, choose "Windows". If you are working on an Apple machine, please choose "Mac OS X". If you are working on a Linux machine, choose "Linux". Next page will bring you to the download. There you can see more information on what version to download.
2. Please complete the installation of Octopus. If the installation is done you will see the following screen to enter your credentials. If you have not received your credentials yet, please contact [email protected]. We make sure that you receive your credentials.
3. After you login in Octopus you will see the following screen. From this page you can start entering all the information that is needed:
3.1: Create "dossier": you have to create a dossier for each HOA you have in Vera. A dossier in Octopus is equal to a HOA in Vera. To create a dossier please follow the next steps:
- In the top navigation, please click on "Management (beheer)" and choose the option "Dossiers". Now you will see a list of all the created dossiers in Octopus. When you have just started with Octopus, this list will be empty but you can easily create new dossiers by clicking on the "+" on the left side of your screen.
- A new screen will open up where you have to input following information:
- Name: what is the name of the HOA you are creating?
- VAT number: please enter a valid VAT number, this will be very important to link the dossier to a HOA inside Vera.
- Address: please insert the address of the HOA.
Do not forget to hit the save button!
3.2 Create your financial years: After your dossier has been created you now have to create the correct financial years. Please click in the top navigation on "Management (beheer)" and choose "Financial years (boekjaren). After choosing this option a new screen will open up with a list of all your financial years. In the beginning this list will be empty but you can easily create new financial years by choosing the "+" on the top left side of your screen. Please enter following information:
- Name of the financial year (description)
- Start date: this will always be equal to the end date of the previous financial year
- End date: please choose an end date
- Please enter your period(s) inside your financial year.
That should be it! No need to input more information here, this is all Vera needs for the financial years.
3.3 Now it's time for the last steps: please create your journals for the financial years. Please click in the top navigation on "Management (beheer)" and choose the option "Journals (dagboeken)". A new screen will open up with already created journals. Please create your necessary journals by clicking on the "+" on the top left side of your screen.
- Complete following information:
- Add a code for the journal
- Choose a GLA that will be linked to the journal.
