3.01 Adding division keys

Division keys are very important in Vera, please make sure that your division keys are 100% correct. Vera will use division keys throughout the whole platform, here are the most important uses of division keys :

• Inviting owners to a meeting
• Determining the owners that can vote on an agendapoint
• Creating bookingrules for purchase invoices
• Creating the budget for next year
• Keeping track of acutal costs during a bookyear
• Validating and dividing purchase invoices for owners
• Digital assistant for automatically creating meetings
• ….

To create your division keys please follow these steps or import your division keys via a .csv. Please check following manual 7.03 Import division keys

1. Navigate to buildings
2. Open a building
3. Click on the button « HOA Management » 
4. The division keys will be the first card you see underneath the tab « Settings »
5. Click on the plus in the card to create a new division key and fill in the following information
   1. Key : The unique key for the division key
   2. Description Dutch: The description of the divsion key in Dutch
   3. Description French: The description of the division key in French
   4. Description English: The description of the division key in English
   5. Total : The total amount of shares for the division key
   6. Buildings : To what buildings should the division key be linked ?
   7. Units : Please select all units that are linked to the division key. Via the building filter you can narrow down your results.
   8. Shares : The share each unit has for that division key

After creating your division keys you will see an indication if the division key is valid or not. Vera checks this automatically for you by adding up all the shares that each unit received and comparing it to the total amount of shares that is linked to the division key. Please keep in mind that once your division key is linked to a meeting or invoice, you can’t delete the division key anymore. If you want to see all the units that are linked to the division key you can open the key inside the card. Vera also implemented an extra fucntionality, you can select a division key, after selecting a division key the email icon will light up. Click on the email icon to send an email to all the units (owners) linked to the selected division key.
