3.11 Settling your statements

Once the invoices have been scanned, validated and accepted (3.07 Validating purchase invoices), you can now settle them. 

The settlement is divided in 4 sections, below you can find information about each one of them.



Settle clients


This screen will display all your clients for each HOA. Here you can filter by a specific HOA to see an overview of your clients with the following columns:

  • Payments due
  • Paid
  • Balance


In this screen you can also filter by administrator, so you get an overview of only the settlements you have to make.


When the 'paid' column shows a € 0,00 value, there is nothing to settle.

If an amount shows in this column, then click the arrow on the right to open the settle model.


 


In this model you can find two sections:

  1. Creditnotes and payments from the client
    1. Amount paid
    2. Open amount to settle
  2. Invoices and back payments to the client
    1. Amount
    2. Open amount
    3. Settled amount



To settle a creditnote or payment, click on 'Select'.

Now click on the pencil next to the invoice/back payment you want to settle.



Fill in the amount you want to settle (it will be auto filled as the total amount) and click save.



In the overview on the right you will see the settlements you've made so far. You can undo them by clicking the backwards arrow.



When done, click save to apply the made settlements to your HOA.



EXTRA: If there equal amounts can be found, for example: an invoice of 120 euro and a payment of 120 euro, you can press the button 'settle equal amounts' to automate this process and make it easier for yourself.







Settle suppliers


This screen will display all your suppliers for each HOA. Here you can filter by a specific HOA or supplier to see an overview of your clients with the following columns:

  • Payments due
  • Paid
  • Balance


In this screen you can also filter by administrator, so you get an overview of only the settlements you have to make.


When the 'paid' column shows a € 0,00 value, there is nothing to settle.

If an amount shows in this column, then click the arrow on the right to open the settle model.

To settle a creditnote or payment, click on 'Select'.

CODA wait accounts


When a payment can't be linked to a supplier or client, it ends up on a CODA wait account. If any payments are visible in this section, you have to appoint them to the relevant owner, supplier or account.


To do so, click on the arrow next to a wait line and simply choose the type:

  • Client
    • Name of the client
  • Supplier
    • Name of the supplier
  • Account
    • Account number


Once assigned correctly, click 'Save'. The amount paid will now be assigned to the client/supplier/account you selected and will be ready for settlement in the indicated tab. 







Archive


In the archive you can find an overview of all the settlements you've made. You will have the following filter options to refine the results:

  • HOA
  • Bookyear
  • Journal
  • Contact/company
