Vera offers a complete digital experience for the owners to register their attendance for meetings, insert procurations and vote online during the meeting.
When the property manager is creating a meeting, the option "Show on portal" can be enabled. This will make the created meetings visible on the portal so that the owner can register his or her attendance and submit a procuration if needed.
If the meeting has not started yet, the owner will see a blue button "Register attendance". By clicking on this the owner can decide to attend the meeting. If the owner can not attend the meeting but wants to input a procuration, this can also be done here. Please follow next steps.
- Click on "Register attendance": on this page, a list of all the agendapoints will be shown.
- Choose "Yes, I will attend" or "No, I will not attend". Depending on what option is chosen, different steps will appear.
If yes has been selected the owner will be marked as present and inside Vera inside the invitations card on the meeting the owner will be updated to the status "Present".
If no has been selected the owner has to decide to input a procuration. If the owner does not want to submit a procuration, the proces can be finished. If the option to input a procuration is chosen, please follow next steps:
- Type of procuration: "General" (holder has full proxy) or "Specific" (specific agendapoints).
- Who is receiving the procuration: here the owner has to choose to give a procuration to somebody else inside the HOA or to somebody that does not live inside the HOA (for example a friend). The owner has the option to choose a main holder but also a secondary holder which is optional.
- Option to input a remark + signature
- Submit the procuration
