4.09 How to start a meeting and how to vote during the meeting

Once all the attendees have registered (4.08 Starting the registration process of a meeting) and the following is true: 

  1. More than 50% of the owners are present
  2. The present owners have atleast 50% of the shares

And the meeting is valid:

In case if the meeting is not valid, the meeting will not be able to start. This setting can be turned off by clicking the cog wheel button on the meeting page and deselecting 'Check for validity'.




You can now officially start the meeting. You can do this by clicking the 'Start meeting' button in the top right.



On this page, you will see the following fields:

  • Agenda points: An overview of all the talking points during the meeting and the different subjects that have to be voted on. You can edit an agendapoint by clicking the pencil icon next to one of the points or click the '+' icon to create a new one.

 


  • Write a report: In this section you can write a report for each agenda point. To change between reports, simply click on a different agenda point. 

   


  • Starting a vote: To start a vote, you have to first click on an agendapoint that needs to be voted on, after which you can click the 'Start voting' button in the top right.



Now that you've started the vote, the attendees will be able to cast their vote in three different ways:


  1. They can vote from the Vera portal.
  2. They can vote with the use of the remote/device.
  3. The votes can be entered manually by clicking the thumbs up, thumbs down or vote not cast icons.


  • Resetting a vote: In case a vote needs to be completely re-done, you can click on 'Reset vote', in this case, everyone will have to recast their vote for this agenda point.



To reset a vote for a single attendee, simply click on the three dots next to their name. You can also click here to register an attendee leaving or switch the attendee to a different voting remote.


  • Ending a vote: Once all votes have been casted, you can click on 'End vote' and follow it by clicking on the right arrow to go to the next agenda point.



  • Outcome of the vote: Once the vote has been ended, the infographic right under the start/end buttons will display the final verdict, the amount of votes (and what they've voted for) and a visualisation of the casted votes.



  • Ending the meeting: Once all agenda points have been voted on, you can end the meeting by clicking on the red button at the top right of the page (on the last agenda point).
