Vera provides an easy way for property managers to register attendees for a meeting. When it is time to start the meeting you can click on the play button on top of the meeting, this will open a new page where the owners can start registering. In your teamsettings you can link automatic messages to this action, you have the option to send automatic emails and messages when the meeting queue has openend.
At Keypoint we have thought about an ideal flow for our property managers so that all owners can register their attendance in a completely independent way. Ideally you would have a device available at the entrance of the meeting location, this can be a tablet or a laptop and will be used by the owners to register their attendance.
On the meeting agenda we provide a QR-code for each owner, please keep in mind that having a QR code will speed up the registration process since the owner does not have to manually search his or her name from inside a list.
This is the flow of registering attendance for a meeting (with QR-code).
- Scan the QR-code
- Vera will automatically recognise the owner
- Insert a signature
- Successfully registered
This is the flow of registering attendance for a meeting (without QR-code)
- Click on the button « I do not have a QR-code » or click on the « List » on the right side of the page
- Search your name from inside the list
- Choose your name and click on « Submit »
- Insert a signature
This is the flow of registering attendance for a meeting (with a procuration)
- Click on the button « Procuration » on the top right side of the page
- Please fill in the following information :
- Type : General of specific procuration
- Procuration granter : Who is giving a procuration ?
- Main holder : Who is receiving a procuration ?
- Remark : Free text that serves as extra information
- If the type = specific procuration the owner can also input specific votes per agendapoint.
- After clicking on save your name will be made available in the list of expected attendees. Please click on the button « List » and search your own name
- Click on submit and insert a signature
For our property managers we provide a separate view to see all the contacts and companies that have already registered, this can be seen by navigating to the tab « Overview of attendees » at the top left side of the screen. Here you will also have the option to start the meeting if valid. Being able to Start the meeting depends on 2 variables.
- More then 50% of the owners need to be present at the start of the meeting.
- The present owners need to have atleast 50% of the shares.
If the present owners have 75% of the total shares, it is not a requirement anymore that 50% of the owners are present.
If the requirements are not met you will not be able to start the meeting.
